The simple answer is to BUILD IN TRAVEL TIME COST INTO YOUR DAY RATE. For example, I assume that most of my film shoots will include two hours or less of drive time (one hour each way). So, my day rate already includes enough money to cover that time and distance.
You will need to DETERMINE YOUR 'MAX DISTANCE' that you are willing to drive before you start charging additional travel costs. Again, my max distance is one hour each way. So, if a project is an hour and a half away, that's when I add a small mileage fee to cover the distance.
If you do charge additional mileage fees, MAKE IT FAIR FOR BOTH YOU AND THE CLIENT. Most people will be understanding and willing to pay for your time and costs associated with traveling to their location.
A good rule of thumb is to NEVER INCLUDE LINE ITEMS IN YOUR PROPOSALS. So, just build in any travel costs into your standard day rate when possible. Only include additional mileage fees when necessary.
